How Ember Auto Caption handles sign-in information, source content, and the shared team log.
Updated October 10, 2026
Who operates the app
Ember Auto Caption is operated by Ember Gaming LLC for its invited team. For privacy questions or requests, contact support@embergaming.studio.
Google sign-in information
Google sign-in uses basic identity access (openid, email, and profile) through Cloudflare Access. The app uses your verified email and account identifier to check the approved account list and identify requests. It displays an approved roster name when available; otherwise it uses the verified session display name.
The app does not request Gmail messages, contacts, Google Drive files, calendars, or permission to post on your behalf. It does not receive or store your Google password. Google and Cloudflare process sign-in and security information under their own terms and policies.
Content you provide
You may provide a description, a photo, a video, or media with a description. Original uploaded files remain in your browser. Photos are resized, and video analysis uses six sampled frames from clips up to 90 seconds. When you enable Use Video Audio, an extracted audio copy is also sent to OpenAI for speech transcription. The prepared images or frames, written context, and optional speech transcript are used to generate and review the caption. Captions and hashtags always stay in English, regardless of the speech language.
Audio and transcripts are processed for the request and are not saved in the shared team log. OpenAI processes the submitted content under its own data policies. Only upload content you are authorized to use and share with the invited team and the processing providers. Avoid unnecessary personal or confidential information in descriptions or media.
What the shared log stores
Successful requests save the generated caption, hashtags, review notes, selected tone, date and time, media type, original written description, uploaded filename when supplied, and a small media thumbnail when supplied. New entries also store a requester identifier internally and show the requester's name. Older entries without recorded attribution show “Name unavailable.”
All invited Auto Caption members can view the same log, including source descriptions, thumbnails, and requester names. Requester identifiers and email addresses are not included in log responses. Copying a caption does not copy the review notes or requester name.
Service records and browser storage
The service keeps internal usage records for request identity, timing, status, API calls, token usage, and estimated API cost so the owner can monitor operation and spending. Usage records do not store source descriptions or media. Cloudflare and the hosting provider may process technical information needed to deliver and secure the service.
Your interface-language preference is saved in this browser's local storage. Authentication uses service-managed session cookies. Clearing browser storage removes local preferences; it does not delete entries from the shared log.
Providers and sharing
Cloudflare provides the Google access gate, gateway, database, and thumbnail storage. OpenAI provides hosted caption generation and review, and the Sites hosting environment. Google provides identity verification. These providers process information needed to operate their services. Data may be processed outside your country.
Ember Gaming LLC does not sell your Google account information or use it for advertising. The app uses Google identity information for access control, request attribution, and service administration. Source content is shared with OpenAI for the requested generation and review, and saved log content is shared with invited team members.
Provider information: Google privacy policy, Cloudflare privacy policy, and OpenAI API data controls.
Retention and requests
The shared log and internal usage records currently have no automatic expiry. The owner can remove entries from the shared log and restore them from an owner-only Trash view. Moving an entry to Trash is recoverable and retains its source context, attribution, and thumbnail; it is not a permanent data deletion. Invited workers cannot delete or restore entries. Original media is not saved by the app, but prepared images sent to a processing provider are subject to that provider's applicable policies. The service does not promise zero provider retention.
Contact support@embergaming.studio to request access to, correction of, or deletion of your stored information, or removal of your app access. Include enough information to locate the relevant account or entries. We may need to verify your identity and assess records that must be retained. Invited workers have no self-service deletion control. Removing app access does not automatically delete historical log entries.
Changes and contact
We will update this page when the app's data handling changes. The date above identifies this version. Questions can be sent to support@embergaming.studio.
